Terms and Conditions

All bookings at the Hololani Beachfront Resort Condominiums are through the Hololani Rental Association LLC, and are made and accepted subject to these terms and conditions:

What Happens When You Make a Reservation?

  • When you place a booking, a contract is made. This contract and matters arising from it are subject to the laws of the state of Hawaii.
  • Our Reservations Manager will confirm your booking upon receipt of your instructions by phone, email, on-line transaction, or in writing.
    • You will receive by mail or email:
      • A Confirmation Notice of the reservation and booking details, including a statement of your initial booking deposit ($300), which will be credited toward your booking total.
      • Written confirmation of payment in full, which will be charged to your account sixty (60) days in advance of your arrival.
  • If you have confirmed your reservation with a credit card:
    • To protect both you and the Hololani Beachfront Resort Condominiums from credit card fraud, your Confirmation Notice will include a Cardholder Agreement section requesting that the individual identified on the credit card (Cardholder) used for the reservation sign, date, and return a signed copy.
    • Cardholder Agreement
      • To assist in protecting both you and the Hololani Beachfront Resort Condominiums from credit card fraud, we are providing the Cardholder an opportunity to indicate his or her acknowledgement of the use of their credit card for the charges indicated on the Confirmation Notice.
      • In signing this Cardholder Agreement, the Cardholder is representing to us that he or she has authorized the use of their credit card, and has read, understands, and agrees to:
        • The charges contained in the Confirmation Notice, and
        • The terms and conditions as expressed here and on the Confirmation Notice, and
        • Pay the charges according to their credit card agreement.
      • Please return a signed copy to the Hololani Rental Manager by one of the following:
    • Your credit card number will be retained in the event of the necessity of additional charges as outlined in these terms and conditions.
  • A booking will be provisional and held pending receipt of:
    • The deposit by check, money order, or cash.
    • The deposit by credit card authorization.
  • Your reservation will not be considered confirmed until we have processed your booking and receive your deposit.

Minimum Stay Periods

  • High Season, seven (7) night minimum
    • December 15 – April 15
    • July 1 – August 31
  • Low Season, five (5) night minimum
    • April 16 – June 30
    • September 1 – December 14
Payment, Deposit, Cancellation Fee, and Refunds
  • Payment is accepted in the form of cash, personal check, money order, VISA, or MasterCard.
  • A $300 deposit is required at the time of booking to confirm your reservation.
  • There is a $100 cancellation fee if you choose to cancel your reservation.
  • Payment in full is due sixty (60) days in advance of your scheduled arrival.  If this payment is not received, your reservation is at risk of being cancelled without further notice.
  • Refunds
    • Your reservation deposit will be returned, less a $100 cancellation fee, if your cancellation is sixty (60) days or more in advance of your scheduled arrival date.
    • THERE ARE NO REFUNDS FOR CANCELLATIONS LESS THAN SIXTY (60) DAYS IN ADVANCE OF THE ARRIVAL DATE.
      • Please see the Travel and Trip Cancellation Insurance section of our Terms and Conditions.
    • Reservations made within sixty (60) days or less in advance of your arrival:
      • For reservations made within sixty (60) days or less in advance of arrival, payment is due in full at time of booking in order to confirm the reservation.
      • The cancellation policy as stated below will apply.  A cancellation becomes effective from the date that it is received by us in writing, fax, or e-mail.
      • THERE ARE NO REFUNDS FOR CANCELLATIONS LESS THAN SIXTY (60) DAYS IN ADVANCE OF THE ARRIVAL DATE.

Cancellations
  • We offer Vacation Rental Insurance that will help protect your vacation investment, as well as provide 24-hour Assistance Services while traveling.  The CSA Vacation Rental Insurance removes the worry about the possible financial loss of your vacation investment if something unexpected occurs.
    • Please review the Travel and Trip Cancellation Insurance section of our Terms and Conditions.
  • A minimum $300 deposit is required to confirm your reservation.
  • Payment in full is required sixty (60) days in advance of your arrival.
  • If you need to cancel, your deposit will be refunded, less a $100 cancellation fee, ONLY if your cancellation is sixty (60) days or more in advance of your scheduled arrival date.
  • A cancellation becomes effective from the date that it is received by us in writing, fax, or e-mail.

Travel and Trip Cancellation Insurance
  • Hololani Beachfront Resort Condominiums has partnered with CSA Travel Protection, and is pleased to provide you with travel and trip cancellation insurance.
  • Please take a moment and ask yourself if you can afford to lose your rental cost should something unexpected happen and you have to cancel.
  • We believe that this coverage is so important that we have included the cost of the insurance as an option on your rental reservation agreement.
    • CSA Travel Protection Insurance provides coverage for the prepaid, non-refundable costs of your reservation and additional expenses you may incur for having to interrupt your trip and return home earlier than expected.
    • The plan protects you in the event of unexpected circumstances, such as sickness, injury, or death of you or a family member, adverse weather or natural disasters, labor disputes, jury duty, and more.
    • CSA Travel Protection is there for you should you become sick or injured while traveling.  You can even access the 24-hour nurse help-line before your trip.
    • CSA provides 24-hour Emergency Assistance to help you with medical referrals, prescription refills, emergency cash transfers, and legal referrals.
    • Although the policy includes a pre-existing medical exclusion, CSA will waive this exclusion at no extra cost provided you purchase the insurance with your final rental payment and are medically able to travel when you pay your plan cost.  The exclusion and waiver apply to you, traveling companions, and non-traveling family members.
    • CSA's Trip Delay coverage will pay up to $600 for reasonable accommodation and traveling expenses due to a delay of 12 hours or more.
    • The plan also covers Identity Theft Coverage during your trip and six (6) months afterward.
  • Your reservation agreement includes the premium for this optional Vacation Rental Insurance, which costs 6.5% of your total reservation cost.
  • Payment in full for this coverage is due sixty (60) days in advance of the arrival date.
    • Your Confirmation Notice will indicate all amounts due at the sixty- (60) day deadline, including the amount due for this coverage if you agreed to the CSA Travel Insurance option.
    • If you opted out of the CSA Travel Insurance option, we want you to know that you may still have time to purchase this important travel protection coverage.  Please contact us for assistance.

You may purchase the CSA Travel Insurance up to sixty (60) days in advance of the arrival date.

Payment in full must be made, however, no later than sixty (60) days in advance of the arrival date.

  • You have a 10-day free look.  If you have purchased this coverage and you decide that you would like to forgo this service, or you are not satisfied for any reason, you may simply return your Description of Coverage within 10 days.  You should include a letter stating your desire to cancel.  If you have not already left on your trip, you will receive a full refund.

Check-in and Check-Out Times
  • Check-in time is 3:00 p.m. on the day of arrival.
  • Check-out time is 11:00 a.m. on the day you depart.
    • These schedules allow sufficient time for our housekeeping service to make the property ready for the next guest.
  • Early Check-in.  If the property is available prior to 3:00 p.m. on your day of arrival, we will make every effort to accommodate an early check-in.  However, if an early check-in is critical to you, you must reserve your room for the day prior to your arrival.
  • Late check-out.  If available and approved by the Hololani Rental Manager, late check-outs will be billed at $50.
  • Our goal is to accommodate the needs of all of our guests.  We will do what we can to accommodate a request, as long as it does not adversely affect our other guests.
Rental Rates
  • The rate for each property is set to be fair to all concerned and to give you good value for your dollar.
  • Once a booking is confirmed, the rental rate is fixed and will not alter. If you later change your reservation, your new confirmed rate will be the rate in effect at the time of the change.
Changing Dates
  • If you need to change dates we will do our best to help make the requested change.
  • Any change is subject to unit availability and the pricing structure at the time of the requested change.
  • Any changes in the dates of a reservation made less than 60 days in advance of the arrival date of the original booking are considered a cancellation and subject to our cancellation policy rules.

Availability
  • All condominium units managed by the Hololani Rental Association LLC are privately owned and subject to availability.
  • Condominium units may be unavailable due to damage, necessary repairs, or a condition making the unit unsuitable for rental.
  • You will be notified immediately should a condominium unit that you have booked becomes unavailable.
    • Although we cannot guarantee that we will be able to find a last– minute replacement condominium unit, we will do our best to find a replacement for you.  For this reason, you will need to provide us with sufficient contact information for us to be able to get in touch with you from the time you have made your reservation up to and including 24 hours before you check-in.
What's Included?
  • We are providing you with a privately owned condominium for you to use.  Please treat it with respect.
  • We provide a starter pack including complimentary coffee, soap, shampoo, hair conditioner, paper towels, laundry detergent, and toilet paper. Any additional toiletries and paper product must be provided by the rental guest.
  • Your island home has a fully-equipped kitchen for preparing meals and light entertaining, and is furnished with dishwashing soap, and sponge.
  • Bed, bath, and kitchen linens are provided.
  • A telephone is provided for free local calls.
  • Access to free Internet Wi-Fi is provided.
  • A complimentary maid service is provided for every seven (7) nights that you stay at the Hololani.
Who can stay with me?
  • Each condominium is a privately-owned home, and the maximum number of allowable occupants is determined by the individual owners.
  • Only the number of guests identified on the booking request is permitted to stay in the unit.
  • Unauthorized additional guests will be assessed a penalty charge at the rate of $100 per guest per day, which will be automatically charged to your credit card.
  • Please notify the Rental Manager if there are any changes to the original booking.
Damages and Damage Waiver
  • Experience tells us accidents can and will happen.
  • In lieu of paying a Security Damage Deposit, a non-refundable $45 charge for a Limited Accidental Damage Waiver will be added to your reservation invoice.
  • This fee relieves guests of the cost for unintentional and incidental damage to our condominiums or the personal property of the owner contained within the unit, not to exceed $250.
  • Damage exceeding $250 will be the responsibility of the tenant.
  • Exclusions within the Limited Accidental Damage Waiver specifically limit the tenant's coverage, and do not cover or release the tenant from liability for damage due to the following:
    1. Intentional, willful, reckless, or malicious acts of the tenant or others on the premises during the tenancy.
    2. Theft from the premises of the owner's property.
    3. Gross negligence of tenant or intentional misuse of furnishings, appliances, equipment, or other amenities provided with the condominium unit.
    4. Damage caused while under the influence of alcohol or drugs.
    5. Damages to real property resulting from operation of any motorized vehicle by a tenant.
    6. Additional cleaning charges.
      • If the unit is left in an extremely filthy, foul, or stained state, an additional cleaning charge may be accessed independent of this damage waiver.
  • The coverage of Limited Accidental Damage Waiver extends to all members of the tenant’s party and guests of the tenant.  Please report any problems or damage immediately to the Hololani Rental Manager’s Office.
  • Notification of damage should be made to the Hololani Rental Manager as soon as possible, but must be reported before check-out in order to receive coverage under the Limited Accidental Damage Waiver.
Advising of Damage

Please let us know right away if there are any problems in your condominium unit.  We want to be sure that anything requiring repair or replacement is taken care of as quickly as possible and resolved for your continued enjoyment.

No Smoking or Pets

The Hololani Beachfront Resort Condominiums managed by the Hololani Rental Association LLC do not allow:

  • Smoking
  • Pets
Neighborly Conduct
  • You will be staying in a privately-owned property that will have neighbors. We ask that you act in a neighborly and courteous manner towards all other guests and owners in the building.
  • Please respect the space of others, and keep noise to a minimum before 8:00 a.m. and after 10:00 p.m.
  • Treat the property, its furnishings, fixtures, accessories, utensils, and other facilities with due care and respect.
Personal Injury and Lost or Stolen Property
  • We cannot accept responsibility or liability for any physical accident, injury, or illness sustained during your rental period, regardless of how it may occur.
  • You are liable for any lost or stolen personal property of yours from the property during the rental period.  We are not responsible or liable for any such loss.
  • In the event that you have any property lost or stolen, please notify the police immediately by dialing 911, and then, please call the Hololani Rental Manager.
Safety
  • All use of the swimming pool, and the surrounding area, is solely at your own risk.
  • We request that you accompany and supervise children at all times, being extra cautious in and around the pool area.
Acceptance of Terms and Conditions
  • By booking with us, you are deemed to have accepted these terms and conditions and agree to the additional charges as listed.
  • We look forward to serving your Hawaii vacation housing needs at the Hololani Beachfront Resort Condominiums.
